Our approach
At DesignOnMenu, every project is planned around a specific scope, timeline, and team commitment. When a project begins, we reserve time and resources specifically for that engagement. Because of this, cancellations may affect the amount that can be refunded. This policy explains what happens when either the client or DesignOnMenu needs to end a project.
Cancelling before a project begins
A project may be cancelled before work begins by contacting us. If no work has started, any refund will be handled according to the payment terms agreed in the project proposal or contract. Any third-party costs already incurred on behalf of the client may be deducted from the amount refunded.
Cancelling after work has started
Once work has started, cancellation does not automatically entitle the client to a full refund. If a client chooses to cancel a project, DesignOnMenu will calculate the amount owed based on:
- Work already completed
- Work currently in progress
- Time and resources committed to the project
- Approved third-party expenses
- Any other costs outlined in the project agreement
Any remaining refundable amount will be returned according to the agreed payment terms
Deposits and upfront payments
Where an upfront payment or deposit is required, it covers the initial commitment of time, planning, and resources required to begin the project. Unless otherwise stated in the project agreement, upfront payments for work that has already commenced are non-refundable. The exact payment structure for each project will be communicated before work begins.
Pausing a project
If a client needs to temporarily pause a project, they should notify DesignOnMenu as soon as possible. A project pause may affect the original timeline and may require the project to be rescheduled based on our availability. Extended pauses may be treated as a cancellation or require a new project schedule to be agreed.
Changes to project scope
A change in direction is not necessarily a cancellation. If the client requests work outside the agreed scope, we may provide a revised estimate, timeline, or proposal before continuing. Additional work will only proceed once the new scope and associated costs have been approved.
Cancellation by DesignOnMenu
DesignOnMenu may cancel a project where:
- The client repeatedly fails to provide required information or feedback
- Payments remain outstanding
- The project materially changes from the agreed scope
- The working relationship becomes unreasonable or inappropriate
- Continuing the project would create legal, ethical, or operational concerns
Where we cancel a project, we will communicate the reason to the client and handle any outstanding payments or refunds according to the applicable project agreement.
Final files and project handover
Where applicable, final project files and deliverables will be provided according to the payment and delivery terms agreed for the project. Outstanding balances must be settled before final deliverables are released unless otherwise agreed in writing.
